Documents that sort themselves with AI

Invoices, delivery notes, letters and PDFs are read, given a sensible name and filed with the right customer. Deadlines land in your calendar. We first built this for our own filing.

Sound familiar?

Invoices, delivery notes, contracts and letters from the authorities land in the same inbox or on the same pile. Filing happens at night when there is time, and when the tax office asks for a receipt, the search begins. We know this from our own office. That is why we solved it.

1

The inbox sorts itself

Invoices, delivery notes and customer enquiries are jumbled together in the inbox, and filing happens at the weekend.

Every attachment is read and recognised: invoice, delivery note, contract, enquiry. The file gets a clear name with date, sender and amount and lands in the right folder.

2

Scan paper mail, done

The letter from the tax office has been on the desk for days, under last week's delivery note.

You scan letters with your phone or a scanner. The rest happens by itself: read, name, file with the right customer or job.

3

Never miss a deadline

The payment deadline was on page two, and nobody saw it.

Due dates, deadlines and appointments are read from the document and land as a reminder in your calendar. If you like, receipts go straight on to your accounting.

Before a project starts, there is a fixed price.

No open-ended invoice, no surprise at the end: you know what it costs before we begin. The blueprint has a fixed price too and is fully credited when you place the order.

At a glance

What happens to every document as soon as it arrives.

  • Attachments and scans are read
  • Clear names with date and sender
  • Filed with the right customer
  • Deadlines as calendar reminders
  • Receipts sent to Lexware on request

How it works

  1. 01Understand your filingWhich documents come in, where should they go, what are your folders called? We take on your order instead of forcing a new one on you. That becomes the blueprint with a fixed price.
  2. 02Set up and testWe connect inbox, scanner and filing and test with your real documents. Whatever the AI cannot place with confidence lands in a folder for review.
  3. 03Let it runFrom then on, mail sorts itself in the background. You only look at what needs your decision.

What this could look like for you

A made-up example, not a customer project – it shows how a project like this typically runs with us.

Starting point

An electrical contractor with a small office gets invoices from wholesalers, delivery notes, letters from the authorities and customer enquiries every week, by email and on paper. Filing happens on Fridays when there is time, and some things get left behind.

Solution

A process reads every new email and every scan, recognises the type of document, names the file and files it with the right customer or supplier. Incoming invoices go to Lexware Office, deadlines land in the calendar.

Result

Filing is up to date every day, receipts are found in seconds, and deadlines come up before they pass.
